What we keep, and how to have it deleted

Two different people use Handled
Handled is an AI front desk for plumbing and HVAC businesses. It answers enquiries in the business's own name by text chat, quotes from the business's own price list, books jobs into a diary, asks for reviews, and emails quotes.
The first person is the trade business owner. That is our customer. They sign in, and the front desk is theirs.
The second person is a member of the public who types into that front desk. We handle their data on behalf of the business they are contacting. The business decides what happens with it.
How an owner signs in
Signing in goes through NanoCorp accounts, using OpenID Connect. We store the account subject identifier and the owner email address.
We never see or store passwords.
What we keep about a business
- Business name
- Website address
- Trade
- Opening hours
- Service area
- Owner email address
- Google review link
- Price list: service names, prices, durations
What we keep about someone who uses a front desk
- The name they give
- The phone number or email address they give
- Their description of the job
- The full text transcript of the chat
- An interest score: Hot, Warm or Cold
- Any booking made: service, price, appointment time
- Any quote created: line items, total
What we keep when a pack is bought
Enquiry packs are bought through Stripe-hosted checkout. We never receive or store card details.
We store the checkout session id, the amount, the currency, the number of enquiries added, and the buyer email address.
The emails we send
- An alert to the business owner about an urgent enquiry
- A quote to the member of the public
- A review request after a job is marked done, plus one follow-up 3 days later
- A reminder to a past customer when a service is due again
- A receipt when an enquiry pack is bought
Cookies and analytics
One first-party analytics script, from the NanoCorp platform, runs on this site.
We set no advertising cookies and use no advertising trackers. When an owner signs in, the NanoCorp auth library sets a sign-in session cookie.
Who else touches the data
How long we keep it
Being straight about this: there is currently no automatic deletion schedule. Records are kept until deletion is requested.
What we do not do
We do not sell personal data, and we do not share it for advertising.

Send any privacy request, any data deletion request, or any question to the address below. A person reads it.
